Client reports

Report links and scheduled report emails for clients, with your name and logo, carrying counts only.

Overview: Client reports

Client reports show a site's sessions and leads by channel, source, campaign, landing page and referrer to someone outside your TraceLead organisation, usually an agency's client. There are two ways to send them: a read-only report link, and a scheduled report email. Both carry counts only: no lead log rows, no settings, no install details, and no visitor or session ids (ADR-033).

Report links

On your site's page in TraceLead, open Reports & data → Client report links, give the link a name (for example the client's name) and choose when it expires (In 7 days, 30, 90 or 365 days, or Never). Choose Create link and copy the link that appears: it is shown once. TraceLead keeps only a hash of the token, so a lost link cannot be shown again; create a new one instead.

A link looks like https://app.tracelead.io/r/…. Anyone who has it can open the report without an account, so send it only to the people who should see the numbers.

  • A site can have up to 20 active links. Revoke one from the same list at any time; a revoked or expired link answers "not found".
  • The list shows how many times each link has been opened and when it was last viewed.
  • Only owners and admins can create or revoke links. Each change is recorded in the organisation's audit log.

What the report page shows

The report covers the last 7, 30 or 90 days, or a custom range of whole UTC days up to 366 days, chosen with the range picker at the top. It shows:

  • sessions, leads, conversion rate and the top channel, each compared with the period of the same length before it;
  • a daily chart of sessions and leads;
  • the breakdowns by channel, source / medium, campaign, landing page and referrer.

The page is not indexed by search engines (noindex, nofollow), is not cached, sends no referrer when the reader clicks a link on it, and loads no TraceLead tracking. Requests are rate limited.

Scheduled report emails

On the same tab, Scheduled report email sends the report by email:

  • Every Monday (last week): at 07:00 UTC, covering the previous Monday to Sunday.
  • On the 1st (last month): at 07:00 UTC on the 1st of the month, covering the previous calendar month.

Choose which members of your organisation receive it, and add up to five external email addresses. An external address gets a confirmation email first and receives nothing until the recipient confirms; if they ignore it, nothing more is sent to that address. Every report to an external recipient carries an unsubscribe link that needs no login. Confirming and unsubscribing each take a button press on the page the link opens, so a mail scanner that follows links cannot do either.

The email holds the period's sessions, leads and conversion rate against the previous period, the top five channels, campaigns and source / medium pairs, and a See the full report button. That button opens a report link the schedule keeps for itself; if you revoke it, the next email creates a new one.

Choose Save schedule to apply a change, or set the schedule to Never to stop it. Only owners and admins can change a schedule.

Weekly digest to owners

Separately from client reports, every organisation's owners get a short digest on Mondays with last week's sessions and leads for each site. It is on by default; turn it off on the organisation page under Client reports → Weekly digest to owners.

Your name and logo

On the organisation page under Client reports, owners and admins can set:

  • Name on reports: shown at the top of report pages and emails. Empty means the organisation's name.
  • Logo: a PNG, or an SVG without scripts, links or embedded content, up to 200 KB. It is stored privately and served through a link that expires after 12 hours. An SVG that contains anything active is rejected rather than cleaned.
  • Hide "Reporting by TraceLead": report pages and emails then show only your name and logo. This option is available on the Agency sizes (plans with 10 sites or more); on smaller plans the line is always shown.

Report pages are served on TraceLead's own domain; custom report domains are not available.

Client logins instead of links

If a client should sign in rather than follow a link, invite them as a member and limit them to their own sites. A site-scoped member sees only those sites in the dashboard, lead log and CSV export, and cannot change anything. See Organisations, members and roles.

What is never in a report

Names, email addresses, phone numbers, form answers, lead log rows, IP addresses, user agents, full referrer URLs, click id values, and the visitor and session ids TraceLead uses for counting. The counts come only from visits where the visitor allowed storage; see What is sent to TraceLead.
